How to choose the right ERP for your SMB

Choosing an ERP is one of the highest-stakes software decisions a small or medium business makes. The right system streamlines everything; the wrong one drains budget and morale for years. After 60+ projects, here is the framework we use with our own clients.

1. Start with processes, not features

Feature checklists are how vendors sell, not how businesses succeed. Before comparing platforms, document your core flows: how a sale becomes an invoice, how stock is purchased and consumed, how the month closes. The right ERP is the one that fits these flows with the least friction.

2. Be honest about your size and budget

Enterprise suites like SAP S/4HANA or Oracle Fusion are engineered, and priced, for enterprises. For most SMBs, platforms like Odoo, ERPNext, Acumatica or SAP Business One deliver the essential capabilities at a fraction of the cost of ownership. Include implementation, training and support in your budget, not just licenses.

Rule of thumb: implementation and change management typically cost between one and two times the first-year software cost. If a proposal doesn't reflect that, something is being underestimated.

3. Open source vs proprietary

Open-source ERPs such as Odoo and ERPNext give you freedom from per-user license inflation, a huge ecosystem of modules, and the ability to customize deeply. Proprietary platforms offer stronger vendor accountability and sometimes deeper vertical features. Neither is universally better; the right answer depends on your industry, your team and your appetite for ownership.

4. Plan for the team you have

A system your team won't use is a failed system regardless of its capabilities. Consider who will own the ERP internally, how much training your staff will need, and whether your processes are stable enough to encode. Sometimes the right first step is fixing a process, not buying software.

5. Choose a partner, then a platform

Implementation quality determines outcomes more than platform choice. A capable partner will challenge your requirements, phase the rollout sensibly, and stay accountable after go-live. Ask any prospective partner three questions: How many implementations have you completed? What does your post-go-live support look like? Can we speak to a client from three years ago?
