What does an ERP implementation really cost?

"What will it cost?" is the first question every owner asks, and the one most vendors answer least honestly. Here is the transparent version, based on the SMB projects we deliver.

The four cost buckets

1. Software licenses

Ranges from zero (self-hosted ERPNext or Odoo Community) to a per-user annual fee (Odoo Enterprise, Acumatica, NetSuite). For a 20-user SMB this is typically the smallest bucket, not the biggest.

2. Implementation services

Discovery, configuration, data migration, training and go-live support. As a rule of thumb, plan one to two times the first-year software cost. Complexity drivers are the number of business processes in scope, data quality, and how much customization you truly need.

3. Infrastructure

Cloud hosting for an SMB deployment is modest, or bundled entirely into SaaS pricing. Self-hosting saves fees but adds responsibility, factor in backups, monitoring and updates.

4. Ongoing support and evolution

Budget a monthly retainer or hourly bank for issue resolution, upgrades and improvements. Well-supported systems compound in value; abandoned ones decay into spreadsheet shadow systems within two years.

The most expensive ERP is the one you implement twice. Underfunding the first attempt is the most reliable way to pay for a second.
